Terms and Conditions

These terms govern every enquiry, quotation, booking and travel arrangement made with Glovenexim LLP, trading as Gloventure, of New Alipore, Kolkata 700053, India ("Gloventure", "we", "us", "our").

By paying a deposit or the full tour cost, or by otherwise confirming a booking in writing — by email, WhatsApp, telephone or through this website — you ("the traveller", "you") confirm that you have read, understood and accepted these terms on behalf of yourself and every person named on the booking. If you book on behalf of others, you are responsible for bringing these terms to their attention and for their acceptance of them.

Where a specific quotation, itinerary or booking confirmation issued by us contains terms that differ from those below, the terms in that document apply to that booking.

1. Our role

Gloventure arranges travel services as an agent and facilitator. Flights, rail and ferry tickets, hotels, transfers, coaches, guides, cruises, sightseeing, entrance tickets, insurance and visa processing are supplied by independent third parties ("suppliers"), each of whom applies its own contract, fare rules, cancellation policy and conditions of carriage.

Your contract for those services is with the supplier. We take reasonable care in selecting and coordinating suppliers, but we are not the provider of the services themselves and do not control their operations.

2. Quotations

Quotations are indicative until a booking is confirmed. They are based on rates, taxes, exchange rates and availability current on the date of issue, and are valid only for the travel dates, hotel categories, room configuration and number of travellers stated in them.

A quotation does not reserve anything. Availability and price are reconfirmed only at the point of booking, and may change in the interval.

3. Booking and confirmation

A booking is confirmed only when both of the following have happened:

Until then, no service is held for you. Verbal or messaged assurances given while a booking is in progress do not constitute a confirmation.

Please check every detail on the booking confirmation — names exactly as they appear on passports, dates, flight timings, room type and occupancy — and tell us immediately if anything is wrong. Corrections made after tickets or vouchers are issued attract supplier charges, and in the case of air tickets a name change is often not permitted at all.

4. Payment

Payment schedules are set out in your quotation and booking confirmation and vary by supplier and season. As a general rule:

If payment is not received by the stated date, we may treat the booking as cancelled and apply the cancellation charges in clause 12. Bookings made close to the departure date require payment in full at the time of booking.

Payments must be made only to the account details shown on our official invoice. If you receive payment instructions purporting to come from us through any other channel, verify them by telephone with us before transferring any funds.

7. Accommodation

Standard hotel check-in is 14:00 or 15:00 and standard check-out is 10:00 or 12:00, depending on the property. Early check-in and late check-out are subject to availability and may attract a charge payable directly to the hotel.

Requests for a particular room type — double, twin, interconnecting, adjacent, same floor, high floor, smoking or non-smoking — are requests only. They are confirmed, if at all, by the hotel at check-in.

If a confirmed hotel becomes unavailable, we will provide alternative accommodation of a similar category. A change of property alone does not entitle you to a refund.

Triple rooms in most destinations are a twin or double room with a rollaway or sofa bed, and are usually smaller in practice than the room description suggests.

9. Air, rail, ferry, cruise and entrance tickets

Tickets of any kind are governed by the issuing carrier's or operator's fare rules and conditions of carriage. Many fares and tickets are non-changeable and non-refundable from the moment of issue.

Delay, rescheduling, diversion, denied boarding, cancellation or loss of connection by an airline, railway, coach operator or ferry or cruise line is a matter between you and that operator. Compensation, refunds and rebooking are governed by its rules and its liability, not ours. We will assist you in pursuing the operator, but we do not bear the cost of the disruption or of any consequent loss of onward services.

Free baggage allowance is as per the airline's policy on the date of travel. Excess and chargeable items are purchased by you directly.

10. Passports, visas and travel documents

It is your responsibility to hold a passport with adequate validity and blank pages, all visas required for your itinerary including transit visas, and any other document required for entry — health certificates, onward tickets, proof of funds, entry registrations or permits.

Visas are granted entirely at the discretion of the consulate or immigration authority concerned. We can assist with documentation and appointments, but we cannot influence, guarantee or expedite a decision, and visa processing fees are non-refundable regardless of outcome.

A visa refusal does not exempt a booking from cancellation charges. If your visa is refused, the charges in clause 12 apply exactly as they would to any other cancellation.

Gloventure is not liable for denied boarding, denied entry, deportation, missed departure or any resulting loss where the cause is incomplete, incorrect or expired documentation.

11. Health, fitness and insurance

You are responsible for satisfying yourself that you are medically fit for the itinerary you have booked, and for checking vaccination requirements and health advisories for your destinations. Current requirements, including any communicable-disease measures in force, are published by the relevant national tourism board, health ministry and embassy, and can change at short notice.

Tell us at the time of booking about any medical condition, mobility limitation, allergy or dietary requirement that may affect your travel. Some itineraries involve walking, altitude, long road transfers or activities that are unsuitable for certain travellers.

We strongly recommend comprehensive travel insurance covering medical treatment, evacuation, trip cancellation and curtailment, baggage and personal liability, taken out at the time you make your first payment. Where insurance is not purchased through us, uninsured losses remain yours.

12. Cancellation by you

All cancellations must be made in writing to info@glovenexim.com. Charges are calculated from the date and time your written cancellation is received by us, not from the date you decided to cancel.

Cancellation charges plus an administration fee range from a minimum of 25% to a maximum of 100% of the total tour cost, depending on when the cancellation is received and on the terms of the airlines, hotels, ground handlers and overseas service providers holding your booking. The charge applicable to your specific booking is confirmed to you in writing at the time of booking.

13. Refunds

Where a refund is due after cancellation charges, it is processed within 21 to 90 working days of the cancellation being confirmed. The timeline reflects the period suppliers, airlines and overseas operators take to release funds to us; we cannot refund money we have not recovered.

Refunds are made to the original payer, through the original payment method where possible, and in Indian Rupees. Where the booking was paid in or converted to foreign currency, the refund is converted at the rate prevailing on the date the refund is processed. Exchange-rate movement between payment and refund is not compensated.

Bank charges, remittance charges, payment-gateway fees and TCS already deposited with the tax authorities are not refundable by us; TCS is recoverable by you through your income tax return.

14. Amendments requested by you

Any change to a confirmed booking — dates, names, hotels, room configuration, number of travellers, itinerary — is subject to availability and to the supplier's charges, plus our administration fee. A change requested close to departure, or one that reduces the number of travellers below the basis on which the tour was priced, may be treated as a cancellation and rebooking under clause 12, and may trigger a repricing of the whole booking.

15. Cancellation or change by us

We may cancel or materially alter a tour where it becomes commercially or operationally unviable, where a minimum group size stated at the time of booking is not reached, or for reasons of safety.

If we cancel for a reason that is not a force majeure event and not attributable to you, we will offer you an alternative of comparable standard, or a refund of amounts we are able to recover from suppliers, less any non-recoverable third-party charges. We are not liable for consequential costs such as independently booked flights, visas already obtained, or leave taken.

16. Force majeure

We are not liable for failure or delay in performing any obligation where the cause is beyond our reasonable control. This includes, without limitation: natural disaster, earthquake, flood, landslide, adverse weather, fire, epidemic or pandemic and measures taken in response to one, war, terrorism, civil unrest, riot, strike, lockout, bandh, roadblock, traffic disruption, accident, airport or airspace closure, technical failure, government or regulatory action, border closure, and the withdrawal or suspension of services by any supplier for such reasons.

Any loss, delay, additional expense or curtailment arising from such events is borne by the traveller. In these circumstances we will pass on whatever recovery we obtain from suppliers, but we are not obliged to refund amounts we cannot recover, and we are not liable for consequential loss.

17. Your conduct and responsibilities

You are responsible for arriving at the stated time and place for every service, for the safe custody of your passport, tickets, money and belongings, and for complying with the laws, customs and regulations of the countries you visit.

We, or a supplier, may decline to carry or accommodate any traveller whose conduct is, in reasonable judgement, disruptive, unsafe, unlawful or a nuisance to others. In that event the tour is treated as terminated for that traveller, with no refund and no liability on our part for onward arrangements or repatriation costs.

By accepting a booking you confirm that you have understood the itinerary, inclusions, exclusions, cancellation rules and these terms in full.

18. Liability

Nothing in these terms excludes liability that cannot lawfully be excluded, including liability for death or personal injury caused by our own negligence, or for fraud.

19. Complaints and grievance redressal

If something goes wrong during your tour, report it immediately to the tour manager, the local ground handler or to us on the contact numbers on your voucher. Most problems can be resolved on the spot; a complaint raised only after the tour has ended deprives everyone of that opportunity and materially limits what can be recovered from a supplier.

Any complaint that could not be resolved during the tour must be sent in writing to info@glovenexim.com within 30 days of the tour ending, with your booking reference and supporting documentation. We will acknowledge within 48 hours and respond substantively within 30 days.

20. Photography and marketing

Photographs and video taken by us, our tour managers or our local partners during a tour may be used in our marketing material and on our social media channels. If you would prefer not to appear in such material, tell us in writing before the tour begins, or at the time the photograph is taken, and we will exclude you.

21. Personal data

We collect and process personal data — including passport details, contact information and, where required for a booking, health and dietary information — to arrange and deliver your travel, and to meet legal and regulatory obligations. Data is shared with the airlines, hotels, insurers, consulates, ground handlers and overseas operators necessary to deliver your booking, some of whom are located outside India. We do not sell your data.

You may request access to, or correction or erasure of, your personal data by writing to info@glovenexim.com, subject to records we are required to retain by law.

22. Website content and third-party links

Itineraries, images, prices and availability on this website are indicative and subject to change without notice. Images are representative of the destination or hotel category and may not depict the exact room, vehicle or property allocated to you. We take care to keep information accurate but do not warrant that it is complete or current at all times.

Links to third-party websites are provided for convenience. We do not control and are not responsible for their content, availability or privacy practices.

23. Changes to these terms

We may revise these terms at any time. The version in force at the date your booking is confirmed is the version that applies to that booking. The date at the top of this page shows when it was last revised.

24. Governing law and jurisdiction

These terms and any dispute arising out of them or out of any booking are governed by the laws of India. The courts at Kolkata, West Bengal have exclusive jurisdiction.
